Manage the Managing Director’s schedule, including meeting arrangements, appointments, and travel booking
Prepare meeting agendas, minutes, briefing materials, and follow-up action tracking
Handle confidential documents and maintain strict professionalism in all communications
Screen and route calls, emails, and correspondence on behalf of the Managing Director
Coordinate internal and external meetings, presentations, and business communications
Provide daily administrative assistance, including preparing file, and maintaining sales documentation, contracts, quotations, and project-related papers, as well as assist in data entry and report consolidation
Coordinate team activities and other ad-hoc tasks as assigned
Requirements
Diploma in Business Administration / Secretarial Studies or a related discipline
Minimum 5 years of experience as a Secretary or Executive Assistant. Experience in supporting senior management is an advantage
Ability to handle sensitive information with discretion and professionalism
Strong organizational abilities with keen attention to detail
Multitasking capability and ability to meet tight deadlines
Proactive, resourceful, and able to work independently with minimal supervision
Strong interpersonal and relationship-building skills, demonstrating a collaborative and service-oriented mindset.
Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Excellent written and verbal communication skills, including both English and Chinese
