The Opportunity
We are seeking an experienced Executive Secretary to provide comprehensive, high‑level support to our Hotel General Manager. This is a pivotal role in the Executive Office—ideal for a discreet, organized, and proactive professional who can anticipate needs, manage complex priorities, and represent the GM with polish and confidence.
What You’ll Do
- Executive support & coordination: Own the GM’s calendar, schedule, and inbox; prioritize requests; ensure seamless day‑to‑day operations.
- Meeting & board preparation: Draft agendas, compile briefing packs, prepare presentations, record minutes, and track follow‑ups/action items.
- Communication & liaison: Draft and edit correspondence; interface professionally with owners, corporate teams, government bodies, VIP guests, and internal leaders.
- Travel & logistics: Arrange travel itineraries, visas, accommodation, and expense reconciliation with accuracy and timeliness.
- Data, reporting & confidentiality: Handle sensitive information with absolute discretion; prepare reports and manage executive records in line with governance requirements.
- Project support: Coordinate cross‑department initiatives, deadlines, and status updates, driving accountability and completion.
- Office administration: Maintain Executive Office standards, supplies, and protocols; champion efficiency and continuous improvement.
What You’ll Bring
- 8-10 years’ experience in executive/secretarial support to senior leaders (hospitality or service‑driven industries preferred).
- Exceptional written and verbal communication skills; fluent English, Cantonese & Putonghua are essential
- Advanced proficiency in MS Outlook, Word, Excel, PowerPoint; familiarity with collaboration tools (e.g., Teams/SharePoint).
- Strong judgment, integrity, and discretion with confidential information.
- Meticulous organization, attention to detail, and the ability to manage multiple priorities under time pressure.
- A collaborative, service‑oriented attitude with polished interpersonal skills and professional presence.
