Secretary to Executive Chef

Responsibilities

  • Coordinate and manage the Executive Chef's calendar, including scheduling appointments, meetings, and events, while ensuring efficient use of time.
  • Serve as a liaison between the Executive Chef and internal/external stakeholders, ensuring effective and timely communication of information, messages, and directives.
  • Prepare and handle various documents, reports, presentations, and correspondence on behalf of the Executive Chef, ensuring accuracy, confidentiality, and adherence to organizational standards.
  • Arrange and coordinate meetings, conferences, and special events, including preparing agendas, collating materials, and arranging logistics such as venue, catering, and audiovisual requirements.
  • Provide comprehensive administrative support to the Executive Chef, including drafting and proofreading documents, maintaining files and records, managing expenses, and handling reimbursements.
  • Assist in monitoring and managing inventory related to office supplies, equipment, and other resources required by the Executive Chef, ensuring availability and efficient utilization.
  • Maintain strict confidentiality and exercise discretion in handling sensitive information, ensuring the utmost professionalism and integrity in all aspects of the role.

Requirements

  • Diploma or above in hotel management or related discipline.
  • Proven experience in culinary administration within the hospitality industry, preferably in a 5-star hotel.
  • Strong organizational skills with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Keen attention to detail to ensure accuracy in document preparation, correspondence, and scheduling.
  • Proficiency in using office productivity software such as word processing, spreadsheet applications, email, and calendar management tools. Familiarity with hotel-specific software systems may also be beneficial.
  • Demonstrated professionalism, integrity, and the ability to handle confidential and sensitive information with discretion.
  • Familiarity with culinary terminology, ingredients, and basic culinary concepts can be advantageous in understanding and supporting the Executive Chef's requirements and activities.
  • Excellent command of spoken & written English and Mandarin.
