The Role
The job holder’s major responsibilities are to:
- Perform duties at the designated reception counter and manage all front desk activities
- Greet and welcome guests/visitors upon arrival and inform relevant persons for guests/visitors’ arrival
- Answer enquiries, screen, and forward incoming telephone calls to relevant parties
- Ensure reception area is tidy and presentable
- Coordinate for outgoing courier packets and handle all incoming mails, parcels and other items addressed to the company
- Record incoming registered mail and courier packets addressed to the company
- Inform relevant persons to acknowledge receipt of personal courier packets
- Uniform laundry administration including verification of bills and payment handling
- Handle full spectrum of stationeries and office supplies procurement including preparation of monthly consumption report to all requisition departments and monitor the inventory level of printing items and rechargeable batteries
- Assist to prepare contract strategy for non-CAPEX items such as uniform laundry services, office and PC stationeries & etc
- Handle bookings for Sports Centre facilities and prepare monthly record for facilities usage
- Carry out routine check on building facilities such as lighting and air-con system & etc on G/F Admin Bldg
- Prepare copier meter reading summary and report to copier companies on a monthly basis
- Coordinate Department activities
- Perform as service back-up for WPS hotline and handle ad hoc tasks assigned by supervisor
The Person
The ideal candidate should have / be:
- F.5 or DSE graduate or above
- At least 2 years reception or clerical experience
- With experience in facilities management and SAP system knowledge is an advantage
- Strong PC skills in Microsoft Word, Excel, PowerPoint & Chinese Word Processing
- Good command of spoken and written English and Chinese (including Putonghua)
- Good communication and interpersonal skills
