Administrative Assistant (5 days work)

The Administrative Assistant supports the Capital Project team in general administrative roles and provides secretarial support.

Job Description

  • Prepare PowerPoint presentations, Word documents and Excel spreadsheets
  • Process vendor payments by reviewing invoices, raising Purchase Order, validating payment terms, and coordinating payment schedules
  • Communicate with Consultants and Contractors in respect of meeting arrangements, correspondence and submission of quotes and invoices
  • Keep systematic records and files in respect of project correspondence
  • Assist the Director of Capital Projects in the preparation of monthly financial and project progress reports and monthly staffing schedules or timesheets
  • Arrangement of meetings, either face-to-face or remote (‘Zoom’ and ‘Teams’)

Qualifications & Skills

  • Diploma in Secretarial or Business Management program or related discipline
  • Experience in property management or property development industries is an advantage
  • Good command of spoken and written English and Chinese
  • Strong team player with a collaborative mindset
  • Independent and self-motivated personality
  • Excellent PC skills, especially in MS Office applications
  • Flexibility to work in Central and Tai Tam
