Senior Officer – QA & Administration

Job Duties:

  • Coordinate with vendors/contractors on M18 system maintenance and related follow-up actions.
  • Handle the full spectrum of office administration and purchasing functions, including establishing, maintaining and regularly updating the supplier/contractor database.
  • Assist in planning, formulating and implementing office administration policies and guidelines; liaise with Group Office Administration to ensure implementation and compliance with Group policies.
  • Liaise and coordinate with external vendors and service providers; monitor, evaluate and review service quality regularly (including renewals, quotation comparisons and service level follow-up).
  • Provide general administrative and clerical support, including carpool,  travel arrangements, hotel bookings, meeting coordination and office documentation.
  • Manage office operations and facilities matters, including office maintenance, seating arrangements, renovation and relocation/reset projects.
  • Organize meetings, conferences, company events and staff activities.
  • Perform other ad hoc projects and duties as assigned.

 

Requirements / Qualifications:

  • Diploma / Higher Diploma or above in Business Administration, Property Management, Computer Science/Information Technology or a related discipline.
  • Minimum 5 years of relevant working experience in office administration / purchasing / vendor management; QA/ISO-related experience is an advantage.
  • Familiar with ISO 9001 / ISO 14001 / ISO 45001 management systems and related documentation/audit requirements.
  • Good command of spoken and written English and Chinese.
  • Strong coordination and organizational skills with effective cross-functional communication; good at negotiation, problem solving, decision making and follow-through.
  • Detail-minded, responsible, proactive and positive; able to work independently and as a team player.
  • Proficient in MS Office and general computer applications; experience with M18 and/or related systems is an advantage.
