This role will play a critical role in ensuring smooth end-to-end order fulfilment by managing supplier relationships, coordinating with warehouses/logistics partners, processing customer orders on time accurately, and handling supplier payments. What You Will Be Doing
- Supplier Management
- Build and maintain strong relationships with existing and new suppliers
- Monitor supplier performance (quality, on-time delivery, responsiveness) and resolve issues promptly
- Onboard new suppliers and maintain an up-to-date supplier database
- Customer Order Fulfilment
- Process and confirm customer purchase orders in the ERP/system accurately and quickly
- Coordinate with sales/customer service teams to clarify order requirements and timelines
- Track order status from PO creation through to delivery and invoicing
- Proactively communicate delays or issues to internal stakeholders and customers
- Warehouse & Logistics Coordination
- Liaise daily with in-house warehouse team to ensure stock availability, picking, packing, and dispatch
- Arrange inbound shipments from suppliers to warehouses and outbound shipments to customers
- Resolve any warehouse-related discrepancies (shortages, damages, returns)
- Supplier Payment & Accounts Coordination
- Verify supplier invoices against POs, delivery notes, and quality checks
- Prepare payment requests and coordinate with the finance/accounting team for timely supplier payments
- Reconcile supplier statements and follow up on outstanding credits or disputes
- Reporting & Process Improvement
- Maintain accurate records and generate regular reports on supplier performance, order fulfilment rates, stock levels, and payment status
- Identify bottlenecks in the supply chain and suggest practical improvements
- Support inventory planning and demand forecasting activities when needed
Who Is Our Right Fit
- Bachelor’s degree in Supply Chain, Business Administration, Logistics, or a related field
- Minimum 2 years of experience in operations, procurement, order management, or supply chain coordination
- Strong experience dealing with suppliers and managing purchase orders
- Previous experience in warehouse / 3PL coordination & payment processing is highly preferred
- Proficient in ERP systems (e.g. SAP) & advanced MS Excel / Google Sheets skills
- Excellent communication skills in written and spoken English
- Highly organized with strong attention to detail and the ability to manage multiple priorities under tight deadlines
- Candidate with less experience will be considered as Operations Assistant
- Required to work on weekends
