Duties & Responsibilities:
- Perform administrative duties of the Executive Office including but not limited to attending Committee Meetings and taking minutes, maintaining management staff's duty roster, Club Driver and Messenger's daily schedules, updating and maintaining Club Bye-laws, etc.
- Assist in the coordination and organization of Annual General Meeting, Town Hall Meetings, Committee meetings and other ad hoc events, e.g. preparation of agendas, notices, mailings and supplemental materials, etc.
- Maintain the Club's General Committee Directory.
- Handle and process incoming and outgoing correspondence including mailing, emails, letters, faxes, memos and reports, etc.
- Organize and maintain historical and working files.
- Work on projects as assigned by Management.
Job Requirements:
- Degree or above in related disciplines.
- A minimum of 3 to 4 years' secretarial experience, with experience in minutes taking and coordination of Board/Directors’ Meetings.
- Strong interpersonal and communication skills.
- Attention to detail, good organizational skills, and able to work independently under pressure.
- Native-like fluency in English, good command of Chinese.
- High proficiency in MS Office.
