Personal Assistant

Job Summary

We are seeking a highly skilled and proactive Personal Assistant to support our Director in a fast-paced environment. This role requires organizational skills, discretion and a high level of professionalism. This ideal candidate will manage scheduling, travel arrangements, contact maintenance, meeting preparations and provide secretarial support to the finance team as part of the responsibilities.

Key Responsibilities

• Manage the Director’s schedule, including meetings, appointments and daily activities, ensuring timely reminders and preparation of necessary materials.
• Organize all aspects of travel such as visa applications, flight and accommodation bookings and transportation arrangements.
• Maintain and manage the Director’s contact, handle calls, emails and correspondences while prioritizing urgent matters and responding professionally.
• Prepare the Director for meetings by gathering relevant documents and make agendas and take minutes.
• Execute full range of secretarial and administrative support to the Director.
• Handle finance related tasks such as payments, reimbursements while providing secretarial support to the finance team.

Qualifications

• Bachelor’s degree or above.
• Minimum 5 years of relevant experience in banking, finance or corporate sectors will be an advantage.
• Proficiency in Microsoft Office (Excel, Word, PowerPoint).
• Strong verbal and written communication skills in both Chinese and English.
• Excellent organizational skills with a keen eye for detail.
• Ability to maintain confidentiality and capable of carefully handling sensitive information.
