We are seeking an Executive Assistant to support the Global Head of Product & Insurance Risk based in Hong Kong.
Position Responsibilities:
- Manage complex diary managements and appointments, anticipate issues and proactively initiate appropriate action
- Organize internal and external meetings, calls, townhalls and conferences for the Global Head of Product & Insurance Risk or his delegates in efficient, professional manners within tight timeframes and minimum guidelines given
- Handle confidential information and interacts with all levels of management, other departments, internal and external customers using tact and diplomacy in all dealings
- Arrange and manage travel arrangement and preparation, submission and tracking of expenses and medical claims
- Track and drive completion key deliverables and follow up on outstanding executive action items
- Organize, prioritize and handle time-sensitive, confidential information and ensure appropriate action is taken
- Take proactive steps to ensure that best practice and coordination is seamless across all interfaces
- Work closely with support staff to build and secure support and resources for projects and initiatives
- Prepare various correspondence and documents; edit and proof correspondence and documents
- Perform miscellaneous and ad hoc tasks as assigned with strong sense of responsibility and ownership
Required Qualifications:
- Degree holder with at least 8 years of relevant experience supporting senior executives in global financial organizations
- Impeccable attention to detail and high levels of integrity and discretion
- A strong sense of urgency and the ability to work independently on assignments with minimum supervision/guidance
- Ability to deal with a high level of ambiguity and utilize sound business judgment
- Great organizational skills, a strong bias for action and the ability to multitask effectively
- Ability to complete complex tasks and projects quickly with little guidance, react with appropriate urgency to situations that require a quick turnaround, be able take effective action
- Strong track record of being a team player within a large scale fast-moving and process-driven environment
- Excellent communication (written and verbal) and interpersonal skills
- Flexible, with the ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines
- Fluency in English and another Asian language
