Key Responsibilities:
- Manage complex calendars and schedule meetings for executives
- Coordinate travel arrangements and prepare itineraries
- Handle confidential and sensitive information with discretion
- Prepare and edit correspondence, presentations, and reports
- Organize and maintain filing systems, both electronic and physical
- Act as a liaison between executives and internal/external stakeholders
- Plan and coordinate events, including meetings, conferences, and team-building activities
- Manage expense reports and handle basic bookkeeping tasks
- Screen and prioritize incoming calls, emails, and visitors
- Provide general administrative support to the team
- Perform ad hoc projects as assigned
Qualifications:
- Bachelor's degree in Business Administration or related field preferred
- 3-5 years of experience as an Administrative / Executive Assistant or in a similar role
- Fluent in English, Cantonese, and Putonghua (PTH)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong written and verbal communication skills
- Excellent organizational and time management abilities
- Ability to multitask and prioritize in a fast-paced environment
- Discretion and confidentiality in handling sensitive information
- Professional demeanor and exceptional interpersonal skills
