Secretary to General Manager/ Senior Management

Responsibilities

  • Perform advanced, diverse and confidential secretarial and administrative duties to senior management
  • Coordinate with both internal and external parties to ensure smooth and timely handling of all matters
  • Prioritize and maintain schedule of senior management; proactive planning of meeting schedules and facilitate travel arrangements as necessary
  • Handle & screen phone calls for supervisor, and maintain positive interactions with visitors/ callers
  • Perform proper security control on the properties of the bank and sensitive information of candidates
  • Facilitate effective communication between senior management and internal/external parties
  • Keep track of office expenses of the division/ department
  • Perform clerical and administrative support, e.g. drafting e-mail/ letter correspondence, reports, presentation decks, etc.
  • Office administration monitoring and maintenance of office equipment
  • Work with colleagues from other departments/external parties to ensure meetings and files are properly handled with clear communication
  • Facilitate divisional people and team engagement; build good rapport with various executive management offices / General Manager offices
  • Comply with all applicable regulations, rules, codes, guidelines and standards set by regulators and the Bank, and carry out duties with high integrity
  • Adhere to all established risk control guidelines, procedures and measures to identify, assess, report, mitigate and monitor the risks involved in the day-to-day work
  • Ad hoc tasks/ projects assigned by supervisor

 

Requirements

  • Form 7 or above; tertiary education a plus but not a must
  • Preferably over 10 years of working experience in secretarial or administrative function, with at least 3 years of experiences gained from sizable organizations. Experience from banking/ finance industry is a plus.
  • Excellent interpersonal skills with an ability to meet and deal with all levels of colleagues in a professional and courteous manner
  • Strong ability in prioritizing, multi-tasking, and working flexibly and independently with high accuracy
  • Strong integrity and ability to handle sensitive information
  • Good computer skills, including MS word, Excel, PowerPoint and Chinese typewriting
  • Good command of both spoken and written English and Chinese (including spoken Mandarin)
