Administrative Assistant / Retail Operations Assistant

Key Responsibilities:

  • Manage complex calendars and schedule meetings for executives
  • Coordinate travel arrangements and prepare itineraries
  • Handle confidential and sensitive information with discretion
  • Prepare and edit correspondence, presentations, and reports
  • Organize and maintain filing systems, both electronic and physical
  • Act as a liaison between executives and internal/external stakeholders
  • Plan and coordinate events, including meetings, conferences, and team-building activities
  • Manage expense reports and handle basic bookkeeping tasks
  • Screen and prioritize incoming calls, emails, and visitors
  • Provide general administrative support to the team
  • Perform ad hoc projects as assigned

Qualifications:

  • Bachelor's degree in Business Administration or related field preferred
  • 3-5 years of experience as an Administrative / Executive Assistant or in a similar role
  • Fluent in English, Cantonese, and Putonghua (PTH)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong written and verbal communication skills
  • Excellent organizational and time management abilities
  • Ability to multitask and prioritize in a fast-paced environment
  • Discretion and confidentiality in handling sensitive information
  • Professional demeanor and exceptional interpersonal skills
