Sales Operations Assistant (5 days Work)

What is your job about?

You will join the operations team, responsible for all administration duties for the multi-brand showroom department, and will be responsible for providing general support to the sales team, specifically:

DATA INPUT/MANAGEMENT

  • Upload and manage all data and product details in the POS system
  • Update data in the system, ensuring all product details are updated according to the vendor’s instructions
  • Monitor and manage stock inventory: annual stock take, move stock across warehouses locations, stock adjustment
  • Prepare daily/weekly reports. Import/export sales and analyze data from the system
  • Sales order entry into supplier’s system and check orders confirmation
  • Provide sales analysis report
  • Work with Hong Kong and China team to provide comprehensive pre-sales support and after-sales services

ACCOUNTING

  • Process sales invoices to clients
  • Checking all payment transactions from clients, in coordination with the finance department, and input settlement entries in the system
  • Prepare outstanding report
  • Ensure accurate accounting entries
  • Issue purchase reports and follows up on all vendors' invoices/credit notes
  • Coordinate stationery/packaging orders, petty cash, and monthly expenses

Who will be our potential target?

  • Diploma or above
  • At least 3 years relevant experience in operations/accountant function. Previous experience in fashion wholesale or retail (Hong Kong / China) would be a plus
  • Strong interpersonal skills, confident, team player, enthusiastic
  • Excellent sense of assigning priorities and attitude to multitasking
  • Detail-oriented and prone to initiate and suggest new procedures to optimize operations flow
  • Good command of both written & Spoken English, Chinese, and Mandarin 
  • Self-motivated, independent, and responsible
  • Able to work independently and under pressure
  • Good PC skills in MS Word, Excel, Chinese Word processing
  • Proficient in Excel, able to use formulas (Vlookup, if and if formulas, pivot table, etc.)
